Email Overload Is a Prioritisation Problem

The average knowledge worker receives 120 emails per day. Most organisations treat this as a volume problem — and apply volume solutions: better filters, shorter emails, fewer meetings-turned-emails.

These help at the margin. But they miss the actual problem.

Email overload isn't about the number of messages. It's about the fact that all messages look equally urgent until you open them — and opening 120 messages to find out which 5 matter is where the time goes.

The prioritisation gap

Traditional email clients sort by time received. This is almost always the wrong sort order.

What arrived five minutes ago is not necessarily more important than what arrived yesterday. What's from your biggest client matters more than what's from a newsletter you forgot you subscribed to.

A prioritisation layer — one that ranks messages by actual impact rather than arrival time — changes what email feels like. You open your inbox and the first thing you see is the thing that matters most.

What Pareto tells us

The Pareto principle applied to email: roughly 20% of messages drive 80% of outcomes. The other 80% of messages are noise — they may need acknowledgement eventually, but they don't need attention today.

The problem is that your inbox doesn't make this distinction visible. Everything arrives in the same river, and you have to fish out the signal yourself.

A smart triage layer automates this fishing. It doesn't delete your email — it just makes the important ones visible so you can handle them first.

Reframing the problem

Stop asking 'how do I get through my inbox faster?' Start asking 'which one email, if I handle it today, removes the most friction from everything else?'

That question has a specific answer. Finding it is the work.
